Booking Terms & Conditions

1. Deposit

A non-refundable deposit of $3,000 per person must be paid at the time of booking. The deposit is accepted as the first instalment of the tour cost and will only be refunded if the applicant’s arrangements cannot be confirmed or if the tour is cancelled by Travel Directors Pty Ltd.

1a. Minimum Numbers

All tour departures are subject to a minimum of ten (10) paying passengers travelling together. Alterations to itineraries to suit individual requirements may be made in most instances for a fee of $75 per person, plus any additional costs.


2. Final Payment

The accepted applicant (hereinafter known as the client) must pay the balance of the tour cost no later than 90 days before departure of the Travel Directors tour.

2a. Credit Card Payments

Payment by credit card or charge card will incur a surcharge.


3. Late Payment

If the balance of the tour cost due to Travel Directors is not paid 90 days prior to departure, Travel Directors may treat the booking as cancelled by the client(s), or a late fee of not less than $150 per person will be incurred to cover visa and other costs.

This includes passports, photos, and any other required documents, which must be received in our office by the final date stated on the invoice.


3a. Price Guarantee on Full Payment

Tour prices are based on costs and exchange rates as at 1 July 2024.

Should these costs change, it may be necessary to apply a surcharge to the price of your holiday. This will be advised at the time of booking.

However, no surcharge relating to cost or currency fluctuations will be applied once full payment has been received by Travel Directors, unless changes are made to your booking in accordance with these terms and conditions.

This price guarantee does not apply to:

  • Fares, charges, or levies imposed by airlines up until ticketing

  • Taxes, charges, or levies imposed by governments or their agencies


4. Booking Amendments

If the client wishes to amend their booking, a minimum amendment fee of $250 will apply.

Amendments generally cannot be accepted less than 90 days prior to departure.


5. Cancellations

5a. Client Cancellations

Once a booking has been accepted by Travel Directors, cancellations must be made in writing.

Cancellation fees apply as follows:

Clients may also be liable for cancellation fees from airlines or other third parties.


5b. Tour Cancellation by Travel Directors

Travel Directors reserves the right to cancel a tour (or part of a tour) without prior notice. In this case, monies paid for the unfinished portion of the tour will be refunded.


5c. Currency Fluctuations

All tour costings are subject to currency fluctuations and may increase without notice. Travel Directors reserves the right to apply these increases to all tours.

We strongly recommend travel insurance is taken out at the time of deposit payment to avoid unnecessary losses.


6. Liability

Travel Directors and/or associated companies give notice that all tickets, coupons, or vouchers issued by them, and all arrangements for transport or hotel accommodation, are made as agents.

They shall not be liable for any injury, damage, loss, accident, delay, or irregularity caused by:

  • Transport providers

  • Hotels

  • Any company or person involved in carrying out the tour arrangements

  • Failure of hotels to provide normally available facilities


7. Delays & Unforeseen Circumstances

Travel Directors and associated companies accept no responsibility for losses or additional expenses due to:

  • Delays or service changes

  • Train or flight disruptions

  • Illness

  • Weather

  • Strikes

  • War

  • Quarantines

  • Other unforeseen causes

Any additional expenses will be borne by the client.


8. Changes to Itineraries

Travel Directors reserves the right to:

  • Substitute hotels

  • Alter itineraries where necessary for operational reasons or passenger convenience

Clients are bound by these changes, and any additional expenses may be borne by the client.


9. Airline Responsibilities

Airlines and other carriers are not responsible for any act, omission, or event occurring when the client is not on board their aircraft or conveyances.

The contract issued by the airline constitutes the sole agreement between the carrier and the client.

Transportation companies mentioned shall incur no responsibility beyond their liability as common carriers.


10. Applicable Laws

All services provided are subject to the laws of the country in which the services are delivered.


11. Australian Consumer Law

Nothing in this brochure is intended to affect rights granted by the Australian Trade Practices Act or other consumer protection legislation which cannot be excluded by law.

This contract shall be governed by the laws of the State of Western Australia.

All disputes arising from this contract will be subject to the exclusive jurisdiction of the courts of Western Australia.


12. Acknowledgement of Risk

Clients acknowledge that there are inherent risks involved in participating in tours, including but not limited to:

  • Contact with native fauna

  • Interaction with local residents

  • Unforeseen events

  • Travel in remote areas

By booking a tour, the client accepts all associated risks.

Clients also agree to release Travel Directors from all liability, including (but not limited to) contract and tort claims, for any injury, damage, loss, cost, delay, additional expense, or inconvenience caused directly or indirectly by:

  • Inherent tour risks

  • Force majeure events

  • Situations beyond our control including war, terrorism, civil unrest, accidents, illness, fire, floods, severe weather, government actions, transport disruptions, equipment failure, or industrial action.


13. Tour participation:

Clients agree to accept the authority and decisions of the Company’s employees, tour leaders and agents while on tour with the Company. If in the opinion of such persons the health, level of fitness or conduct of a client at any time, before or after departure, appears likely to endanger the safe, comfortable or happy progress of a tour, the client may be excluded from all or part of the tour without refund or recompense.

In the case of ill-health the Company may make such arrangements as it sees fit to recover the costs thereof from the client. If a client commits an illegal act the client may be excluded from the tour and the Company shall cease to have responsibility to/for them.

If you are affected by a condition, medical or otherwise, that might affect you or affect other people’s enjoyment or active participation of the tour, you must advise us at the time of booking. No refund will be given for any unused services.
